Dear OCMA Members:
OCMA is partnering with Human Resource Services (HRS) and OC Information Technology (OCIT) to remind members that County technology resources, including computers, mobile devices, email accounts, internet access and software, must be used in accordance with the County’s Technology Usage Policy.
County technology resources should not be used for unauthorized personal activities or outside business. This includes using a County email address to register for personal accounts, conduct non-County business or communicate regarding matters unrelated to County operations. As managers, we are also responsible for modeling appropriate use and ensuring employees understand these requirements.
The County recently updated its Technology Usage Policy to address several additional areas, including:
- Desktop printers are not permitted unless an approved exception is on file. Exceptions are limited to documented operational or accessibility needs and require departmental review and approval.
- IT devices must be disposed of in accordance with the County’s Surplus of County Property policy and procedures.
Additionally, the following provisions are a part of the existing Technology Usage Policy, and we encourage you to review them:
- Sensitive information must be transmitted using secure communication methods.
- Employees traveling or working remotely must follow established security practices and obtain any required remote-access authorization.
- Use of artificial intelligence must comply with the County’s Generative Artificial Intelligence Policy.
As part of the County’s cybersecurity training, employees will also be required to attest that they have read and understand the Technology Usage Policy.
Please take a few minutes to review the County’s Technology Usage Policy and remind your teams of these requirements.
